What makes a resume template ATS-friendly

An ATS-friendly resume template is a single-column document with real text, standard section headings and nothing important inside a table, text box, header, footer or image. That is the whole definition. The reason is mechanical: an applicant tracking system does not look at your resume the way a person does. It extracts the text from the file and sorts it into fields such as name, employer, job title, dates and skills.

The parser reads text in the order the file stores it, roughly top to bottom and left to right. A simple layout keeps that order intact. A layout with contact details in the header, skills in a sidebar and dates in a table asks the parser to guess, and guesses go wrong. In many systems the recruiter sees the parsed profile next to your original file, so a misread field is easy to spot.

There are two honest limits. First, formatting alone rarely gets a resume rejected. A bad parse leaves your profile incomplete or out of order, which hurts search and filters. Second, no template makes you a match for a job. A readable file gets your content into the system. The content still has to fit the role.

How to use the Word and Google Docs ATS resume template

The template is a single-column Microsoft Word file with four standard headings (Summary, Work Experience, Education and Skills) and a plain Calibri-style font. Prefer a form to a blank page? The free resume builder uses the same single-column layout, needs no sign-up and sends you PDF and Word files.

  1. Open it in Word or Google Docs

Double-click the .docx in Word. In Google Docs, choose File → Open → Upload and drop the file in. It opens as an editable Doc. Keep the headings and spacing and replace only the text.

  2. Fill in the contact line

Put your name, city, phone, email and LinkedIn URL at the top of the page as ordinary text. Write the URL out in full. Leave the page header empty.

  3. Write a two-to-three line summary

Name the role you are targeting, your years of experience and two strengths that match the posting. It sits at the top of the page, so it is the first text both the parser and the reader see. Rewrite it for each application.

  4. List work experience, newest first

Give each job a title, company, location and dates, then three to five bullets that start with a verb and say what changed because of you. For example: “Cut weekly reporting from six hours to two by automating the export in SQL.” Use numbers only if they are real.

  5. Add education and skills

Education needs the degree, school and year. Under Skills, list tools and methods as plain text grouped by type, such as “Tools: Excel, SQL, Tableau”, using the names the job posting uses. List only skills you have.

  6. Save it the right way

Keep the .docx as your master copy. To send a PDF, use File → Save As → PDF in Word or File → Download → PDF Document in Google Docs. Name the file FirstName-LastName-Resume.

What ATS parsers commonly misread

Parsers differ, so none of these fails everywhere. All of them fail often enough to avoid.

Columns and sidebars

Some parsers read straight across the page, so a skills sidebar gets spliced into the middle of your job bullets. A single column removes the risk.

Tables and text boxes

Their contents can be skipped or read out of order. Simple tables work on some systems, but you cannot tell in advance which, so keep key facts in plain paragraphs.

Headers and footers

Some parsers skip this area. If your phone number and email live there, your profile can arrive with no way to contact you.

Icons, photos and skill bars

A bar showing 80 percent in Python is a picture, not text, and it carries no keyword. Icons and photos are ignored at best and garbled at worst. Write the skill in words.

Unusual headings

A heading like “Where I've Made an Impact” may not be recognized as work history, so your jobs can end up filed under no section. Use the standard names.

Image-only files and odd fonts

A scanned or screenshot PDF has no text to extract. Decorative fonts can be swapped or garbled when the text is read back. If you cannot select the text, a parser cannot either.

ATS-Friendly Resume Template

Start with a clean template, then tailor it to the job

“ATS-friendly” is a label, not a guarantee

There is no official certification for resume templates, so the label is a claim, not proof. That includes ours. A template can follow the rules above, but only a test tells you whether your finished file survives. Run the three-minute check below before you apply.

ATS-friendly is only half the job: match the keywords

A readable file gets your resume into the system. What it says decides whether it surfaces. Recruiters search and filter by terms from the posting: the job title, the tools, the certifications, the methods. If the posting says “stakeholder management” and your resume says “working with teams”, a search for the first phrase will not find you.

So keep the template and change the content. You do not need a different template for each job, but you do need a different summary, a different skills line and a few reordered bullets. Mirror the exact wording of the requirements you truly meet and leave out the ones you do not. Our guide to ATS resume keywords shows how to pick the five to eight terms worth matching.

Doing that by hand for every application is slow. JobTailor's AI resume tailoring reads the job description, proposes edits to your own resume and shows each one as a tracked change you accept or reject. It never invents employers, titles, dates, credentials, tools or metrics. The free plan includes 2 tailored resumes a month.

Test your resume before you apply

Three minutes, and nothing to install.

  1. Run the plain-text test

Open the exact file you will send, select everything, copy it and paste it into a plain-text editor such as Notepad or TextEdit. Your name and contact details should come first, and jobs and dates should stay in order.

  2. Check the PDF has real text

Open the PDF and try to highlight one line with your cursor. If you can select words, there is text to read. If the whole page highlights as a single block, it is an image.

  3. Check it against a real job

Run the resume through the ATS resume checker with the job description. You get a match score broken down by job title, experience, education, skills and keywords, with the gaps listed.

  4. Watch the application form

Many employer forms, Workday portals among them, pre-fill fields from the resume you upload. If your name, employers or dates arrive wrong, the parse went wrong. Fix the file and upload it again.

PDF or Word for an ATS: which file should you send?

Both work in the major systems. Greenhouse, for example, accepts .pdf, .doc, .docx, .rtf and .txt uploads, and most employer career sites accept PDF and DOCX, though each site sets its own list. So the first rule is simple: if the posting or the upload box names a format, send that one.

When it does not, the choice comes down to risk. A PDF exported from Word or Google Docs keeps selectable text, looks the same on every device and is read without trouble by most modern parsers. A PDF made from a scan, a screenshot or some design tools may contain no text at all. A .docx keeps the document's structure, but one full of tables and text boxes is just as hard to read, and its layout can shift on another computer.

Write in Word or Google Docs and keep the .docx as your master. Send a text-based PDF when layout matters, and the .docx when a posting asks for it or when your PDF fails the copy-paste test. Avoid .doc, .pages and image files. Sources disagree on which is safer, so test your own file.

Frequently asked questions

Is a two-column resume ATS-friendly?

Usually not. Some parsers read straight across both columns, which mixes your sidebar into your job history and can scramble or drop sections. Other systems handle columns fine, but you cannot know which one an employer uses. A single column costs you nothing and removes the risk, so use it for any resume you submit through an online form.

Are Canva resumes ATS-friendly?

It depends on the template and the export. Canva designs often use columns, text boxes, icons and graphics, which parsers handle poorly. If you use Canva, pick a single-column layout, skip icons and skill bars, export a PDF, and confirm you can select the text and paste it in order. When in doubt, use a plain Word template.

Can an ATS read a PDF?

Yes, if the PDF contains real text. PDFs exported from Word or Google Docs are read by most systems. PDFs made from scans or screenshots hold only an image, so there is nothing to parse. A quick check: try to highlight a line of text in the PDF. If you can, a parser can read it.

Do I need a different resume template for each job?

No. Keep one clean template and change the content for each application: the summary, the skills line, and the wording and order of your bullets, matched to that job's requirements. The format stays the same. The keywords, titles and emphasis change.

How do I use this ATS resume template in Google Docs?

Download the .docx, open Google Docs and choose File → Open → Upload, then select the file. It opens as an editable Doc. Replace the text, then use File → Download to export a PDF or a Word file. Check that the layout looks the same after you export.

Will a badly formatted resume be rejected automatically?

In most setups, formatting alone does not trigger a rejection. A failed parse puts wrong or missing data in your profile, which makes you harder to find in recruiter searches. When applications are filtered automatically, it is usually through screening questions the employer set, such as work authorization or required certifications.

Is the template really free?

Yes. The Word file is a free download with no sign-up, and the free resume builder also needs no account and adds no watermark. Both follow the rules in this guide. JobTailor's paid plans cover AI features such as resume tailoring and cover letters, not the template or the builder.
